Landlord Accounting Software for 1 to 10 Rental Units

Small landlords rarely need enterprise accounting. They need clean property-level income, expenses, receipts, bank reconciliation and a report their tax preparer can actually use.

Baselane is my first look for banking plus books, Stessa for portfolio reporting, Landlord Studio for mobile bookkeeping, and DoorLoop when accounting must live inside a larger management system.

In this guide

The best-looking dashboard is not always the best operating system. I would rather have fewer steps and records I can explain six months later.

The short answer

My take: Baselane is my first look for banking plus books, Stessa for portfolio reporting, Landlord Studio for mobile bookkeeping, and DoorLoop when accounting must live inside a larger management system.

The best choice is the one you will reconcile every month. A long feature list does not fix uncategorized transactions. Ask whether the system imports bank activity, supports property and Schedule E categories, stores receipts and exports usable reports.

What matters in the real workflow

For one to three rentals, free tools plus a disciplined month-end routine may be enough. Near ten units, automation starts earning its keep. If employees or owner clients are involved, double-entry controls and permissions matter more than a pretty dashboard.

Use actual portfolio information during the trial. Sample data makes every dashboard look organized; opening balances and imperfect records show how the tool behaves in real life.

Cost is more than the advertised price

Do not build a long-term decision around an introductory promotion. Use the regular price and normal transaction volume when deciding whether the workflow pays for itself.

A practical way to decide

  1. Name the two workflows causing the most repeated work.
  2. Test those workflows with real portfolio information.
  3. Calculate the complete first-year cost.
  4. Check the tenant experience, exports and cancellation process.
  5. Choose the simplest option that solves the named problem.
Next step

Use the decision on your own portfolio.

Do not buy from the feature list alone. Compare the actual workflow, total cost and records you will receive at month-end.

Bottom line

Baselane is my first look for banking plus books, Stessa for portfolio reporting, Landlord Studio for mobile bookkeeping, and DoorLoop when accounting must live inside a larger management system. Keep the decision boring and practical: clear records, fewer handoffs, predictable cost and a process tenants can actually follow.
